About this role

The Inclusive Education Scholarships Initiative is seeking a Program Advisor to support the delivery of a key Disability Inclusion reform initiative that builds inclusive education capability across Victorian government schools. The role coordinates critical operational activities across the scholarship lifecycle, including application rounds, recipient management, funding administration, compliance processes, reporting and stakeholder engagement with schools, universities and departmental teams. This is an opportunity to contribute to a statewide initiative that strengthens educator capability and supports improved outcomes for students with disability and diverse learning needs. Role Purpose An opportunity exists to join the Inclusive Education Division as a Program Advisor supporting the Inclusive Education Scholarships Initiative, a key Disability Inclusion reform initiative that strengthens inclusive education capability across Victorian government schools. The Inclusive Education Scholarships Initiative delivers postgraduate training opportunities for educators while managing funding, compliance and stakeholder processes across schools, universities and departmental systems. This role provides operational coordination across multiple program streams, including scholarship delivery, funding administration, reporting cycles, compliance activities and stakeholder engagement. The position requires strong capability in managing competing priorities, working across multiple systems, and ensuring accuracy, timeliness and consistency in program delivery. About the Role This is a Fixed Term, Full Time role until 4 October 2027. As Program Advisor, you will coordinate operational delivery across the full lifecycle of the Initiative, including annual scholarship application rounds, cohort management and ongoing engagement with recipients, graduates, universities and prospective applicants. You will manage end-to-end workflows across application rounds, CRT reimbursement and acquittals, funding administration, debt recovery processes, reporting activities and stakeholder engagement across schools, universities and internal teams. Working within a small, collaborative team, you will use multiple departmental systems and datasets to maintain data integrity, support compliance requirements and contribute to continuous improvement of program processes and workflows. Key Responsibilities In this role, you will: • Coordinate annual scholarship application cycles and ongoing engagement with recipients, graduates, universities and prospective applicants. • Manage stakeholder enquiries through shared inbox and phone channels, ensuring timely and accurate responses. • Coordinate application processes, selection activities, funding workflows, CRT reimbursement and acquittal processes, and debt recovery case management. • Maintain accurate program data and reporting across systems including Salesforce, STFGP, LearnEd, SharePoint, Excel, SmartyGrants and other departmental platforms. • Support financial and compliance processes including invoice validation, reimbursement processing and funding reconciliation. • Contribute to cyclical reporting and governance activities. • Coordinate university engagement activities, including preparation of materials, meeting coordination and follow-up actions. • Support development of program communications and operational guidance materials. • Identify operational risks, process gaps and opportunities for continuous improvement. Who We're Looking For You will bring demonstrated experience working in operational, administrative or program environments involving multiple stakeholders, systems and competing priorities. You will have: • Strong capability managing structured workflows in high-volume, deadline-driven environments. • Experience engaging with diverse stakeholders including schools, universities, government or professional service environments. • Ability to interpret guidelines, apply sound judgement and resolve operational issues. • Experience using multiple systems and platforms such as Excel, SharePoint, Salesforce, SmartyGrants or equivalent workflow systems. • Experience supporting financial, funding, compliance or case management processes such as invoicing, reimbursements, acquittals or debt recovery is highly regar ded. • Strong organisational skills and the ability to manage competing priorities while delivering accurate outcomes. • A proactive, solutions-focused approach and ability to contribute to process improvement. • Ability to work independently and collaboratively in a complex program environment. Experience in government, education or large-scale program delivery environments is highly regarded. An understanding of Disability Inclusion reform and a commitment to supporting inclusive education practice is desirable.
