Expression of interest - Project Officer – Privacy and Responsible Information Sharing (PRIS) Position Summary DFP are looking a highly organised and proactive Project Officer to support the implementation of privacy, information governance, reporting, and business improvement initiatives within a government environment. Working within a collaborative team or independently, the Project Officer will provide project coordination, governance, reporting, and administrative support across a range of information management and organisational improvement activities. The role will contribute to the implementation of Privacy and Responsible Information Sharing (PRIS) reforms, development of governance frameworks, data reporting capabilities, operational documentation, and stakeholder engagement activities. Reporting to the relevant Project Manager or Coordinator, this position plays a key role in supporting project delivery, governance compliance, organisational readiness, and continuous improvement initiatives. Key Responsibilities Project Coordination and Delivery • Coordinate project activities, milestones, actions, and deliverables to ensure successful project outcomes. • Monitor project progress and maintain project plans, action logs, risk registers, and project documentation. • Support readiness, implementation, and business improvement initiatives across multiple workstreams. • Assist with project planning, monitoring, reporting, and issue management. • Prepare briefing notes, reports, presentations, and project updates for stakeholders and governance committees. • Contribute to organisational change initiatives and support implementation activities. • Undertake research and analysis to support project objectives and decision-making. Governance and Information Management • Assist in the implementation of Privacy and Responsible Information Sharing (PRIS) reforms and associated governance activities. • Develop and maintain governance documentation, including procedures, operational instructions, guidance materials, templates, and quick reference guides. • Ensure documentation aligns with organisational policies, legislative requirements, information management standards, and governance frameworks. • Maintain registers, records, and governance documentation with a high degree of accuracy. • Support the development and ongoing improvement of business processes and operational frameworks. • Assist with documenting data definitions, processes, controls, and reporting methodologies. Data Governance, Reporting and Analysis • Support the development and maintenance of reporting tools, dashboards, and performance reporting frameworks. • Assist in coordinating financial, operational, and project reporting activities. • Monitor project and operational performance data and prepare reports for management. • Liaise with stakeholders to collect, analyse, and interpret information to support reporting requirements. • Support quality assurance processes to ensure consistency, accuracy, and integrity of information. • Contribute to data governance, reporting, and continuous improvement initiatives. Privacy, Training and Implementation Support • Support the development of implementation resources including : • Templates • Guidance materials • Collection notices • Privacy statements • Intranet content • Operational procedures • Coordinate training and awareness activities, including: • Workshops • Information sessions • Internal communications • E-learning materials • Frequently Asked Questions (FAQs) • Assist in developing procedures for managing: • Information access requests • Privacy complaints • Information breaches • Information-sharing activities Stakeholder Engagement • Build and maintain productive relationships with internal and external stakeholders. • Facilitate meetings, workshops, and consultation sessions to gather requirements and support implementation outcomes. • Provide clear communication and support to encourage adoption of new systems, processes, and governance frameworks. • Collaborate across business areas to ensure successful project delivery and organisational readiness. Essential Selection Criteria • Demonstrated experience supporting and coordinating projects within established timeframes. • Strong organisational and administrative skills with the ability to manage competing priorities and deadlines. • Experience developing and maintaining governance documentation, procedures, operational instructions, or business processes. • Well-developed research, analytical, and problem-solving skills. • Strong written communication skills, including experience preparing reports, briefings, guidance materials, and stakeholder communications. • Experience maintaining registers, records, and project documentation. • Proven stakeholder engagement and relationship management skills. • High attention to detail and commitment to accuracy. • Demonstrated proficiency in Microsoft 365 applications, including: • Outlook • Word • Excel • Teams • SharePoint • Planner Essential Requirements • Experience in information governance, records management, privacy, compliance, or related disciplines. • Understanding of financial reporting, budget monitoring, and governance processes. • Commitment to maintaining confidentiality and handling sensitive information appropriately. • Knowledge of Privacy and Responsible Information Sharing (PRIS) legislation or similar regulatory frameworks. • Current National Police Clearance (or ability to obtain one). • Australian working rights.
