The role combines administration, business support, stakeholder engagement, and process management within a Defence environment. Key Responsibilities of the role include administration and coordination functions including: • Manage workplace correspondence and enquiries. • Process administrative requirements for language testing and training. • Maintain accurate records and documentation. • Support personnel administration and remuneration processes. • Follow Defence policies, procedures and work practices. • Assist with business processes and workflow management. • Support digital information management across multiple systems. • Provide administrative support to the Administration Manager and broader team. The Role requires liaison with uniformed personnel and APS employees at all levels and requires an ability to build productive working relationships with diverse stakeholders at all levels. About our Team The Languages–Army Team, within Army G7 and led by the SO2 Modern Language Army (MLA), is responsible for delivering and sustaining Army’s language capability across the Integrated Force. The team leads the development, implementation and management of language capability frameworks to ensure linguistic excellence remains a critical enabler of Army’s operational effectiveness, mission success and international engagement. As Army’s principal link to Defence’s Professional Language Network, the team works across Defence to coordinate language capability requirements and ensure Army commands and formations have access to appropriately qualified interpreters and translators to support operational, training and engagement activities. The team also plays a key role in integrating Army’s language workforce with broader Defence language networks and capability initiatives. In addition to workforce coordination, the Languages–Army Team is responsible for strengthening Language Workforce Development across Army. This includes establishing and enhancing mentoring networks, professional development pathways and workforce management practices that build capability depth, foster professionalism and support the development of a future-ready language workforce. Through the administration of language testing, qualifications, training and workforce development programs, the team contributes directly to Army’s ability to operate effectively in complex environments, strengthen international partnerships and meet emerging capability requirements. The Languages–Army Team supports a highly specialised and strategically important workforce whose linguistic expertise enables Defence to engage, communicate and operate effectively in support of national objectives. Our Ideal Candidate The Languages–Army Team is seeking a highly motivated and professional Administration Officer who will contribute to the effective administration and sustainment of Army’s Language Other Than English (LOTE) capability. Working within a specialist team, the successful candidate will support the delivery of language testing, training and workforce management activities that underpin Army’s operational effectiveness and international partnerships. The ideal candidate will be an excellent communicator with strong interpersonal skills and the ability to build productive working relationships across a diverse workforce comprising full-time and part-time uniformed personnel, Australian Public Service (APS) employees and stakeholders from across Defence. They will demonstrate professionalism, discretion and a commitment to providing high-quality administrative support in a collaborative and team-focused environment. The successful applicant will be highly organised and detail-oriented, with the ability to manage workplace correspondence, coordinate administrative processes and maintain accurate records in a timely manner. They will be process-driven and capable of working within established policies, procedures and governance frameworks while effectively managing competing priorities and meeting deadlines. The role requires an individual who can work independently to complete directed tasks from the Administration Manager, while also contributing positively to a small, high-performing team. A willingness to learn, adapt and support continuous improvement initiatives will be highly regarded.
