About the Temporary Executive Assistant (EA) Register We’re looking for experienced, enthusiastic and highly organised Executive Assistants to manage the office of at least one Senior Executive (SES Band 1, SES Band 2 or SES Band 3). To succeed in this role, you will have great people skills, the ability to anticipate the needs of Senior Executives and demonstrate flexibility and resilience. The department is committed to having a flexible and inclusive workplace and recognises and values the diversity of the wider Australia community. We encourage and welcome applications from people with disability, Aboriginal and Torres Strait Islander peoples, LGBTIQ+ people, people from culturally and linguistically diverse backgrounds and mature age people. The Executive Assistant Temporary Employment Register is open for individuals to register their interest in non-ongoing (temporary) employment opportunities with the department. The register enables the department to access suitable and experienced individuals for temporary employment opportunities. This is an expression of interest only and there is no guarantee that opportunities will become available. • Roles are only available on a temporary (non-ongoing) basis. • Non-ongoing contracts can be issued for an initial period of up to 12 months, with potential for one 6-month extension. • Opportunities for ongoing engagement or promotion under the Public Service Act 1999 are not available through this recruitment register. • You will only be contacted in the event a vacancy arises that matches your skills and experience, and your application is not a guarantee that an offer of employment will be made. • Applications remain active until 31 March 2027 . • We also encourage you to apply for any future vacancies through our careers portal . Responsibilities of the Executive Assistant may include: • Managing and organising the diary and emails including scheduling appointments and meetings, flagging urgent and sensitive emails and responding to meeting requests. • Managing Branch/Division/Group coordination activities and assisting with workflow management, ensuring tasks are completed according to priority and deadlines. • Providing support for the Branch/Division/Group as required (including accommodation/property needs, support for committees and coordination of requests such as Branch/Division/Group meetings and events). • Anticipating logistical requirements for meetings, ensuring briefing materials are being prepared prior to Senior Executive attended meetings. • Supporting procurement activities and payment of invoices as directed. • Preparing correspondence, minutes and other written material as directed. • Travel coordination and monthly credit card acquittals as directed. • Providing system and process support across teams. For example: committee support and possibly production of basic papers as directed. • Liaising professionally with other areas of the department and external organisations. The APS Work Level Standards are structured to clearly differentiate between the work expected (i.e. responsibilities and duties) at each classification level. We encourage you to review these when writing your application. How to Apply Our online application form will ask you to express an interest in roles from the APS Level 4 to APS Level 6 classifications and indicate your preferred locations. We also ask that you fill out some basic information about yourself as well as attaching an up-to-date resume. We strongly recommend that you use a personal email address rather than your work email address to ensure you don’t miss any communication.
