Working in a small team, your role will be varied, interesting and fast-paced. No day will be the same. • Opportunity to diversify your administration and executive support skills • 12-month labour hire contract – potential extension • Northside location The Role This role will be required to perform administrative and operational tasks, provide advice based on policies and legislation, and undertake project-style work including developing plans, setting milestones and completing projects. Duties and responsibilities include but are not limited to: • Providing administrative coordination and secretariat support for meetings and reporting, including finalising and distributing agendas, papers and minutes, scheduling and booking attendees and facilities, maintaining action and decision registers, and maintaining administrative standards and processes • Provide executive assistance to 6 Directors, including diary and inbox management • Organise and prepare travel itineraries, as well as acquittal of expenses • undertaking other general administrative support tasks as required • Provide high level secretariat and administrative support to committees, workshops and meetings • Organise travel and prepare travel itineraries, including acquitting expenses • Contribute to a collaborative administrative support team with the other EAs and EO, noting this role reports to the Executive Officer to the Agencies CEO and Deputy CEO The Ideal Person You will have proven experience as an Administrative Coordinator and/or Executive Assistant to Senior Executive staff in an APS environment or equivalent. Highly developed coordination skills, diary and email management is imperative. You are highly reliable and dedicated as you will play an important representative role on behalf of your Directors. You are first point of contact for the 6 x Directors and pride yourself on your professionalism as well as being personable to all stakeholders, including APS staff and people from academia. You will be a self-starter who can be entrusted to use good judgement in organising the Directors’ workload and escalating issues. You are resilient to change and can cope effectively in high pressure situations to fulfil the expectations of the role. As a member of a small team and a small agency, the Administration Officer is expected to work autonomously, but also collaboratively with other members in the team on corporate projects, demonstrating flexibility where the responsibility of tasks may be shared. You will be proficient in the use of Microsoft Office Word, Excel, Outlook, Adobe Acrobat and an ability to learn in-house systems. You must be an Australian Citizen to be considered.
